The role of the Charity Administrator for South West Cluster CIO
This is a new role, supporting an exciting development in Mothers’ Union governance. His/her work is ordinarily home based, and he/she should be contactable by email and telephone. The post holder should ideally be a member of Mothers’ Union, willing to undertake the role on a voluntary basis, and be familiar with Office 365 and have access to the Resource Hub - training will be given otherwise.
The main duties are:
1. To liaise on a regular basis with the Chair and other Trustees on the CIO Board, as required, and conduct administrative and organisational duties as required by the Chair.
2. To work with the Chair to schedule Board Meetings and any Central Committee Meetings, including circulating zoom links, and to prepare Meeting Agendas and distribute them, together with attached documents, at least 7 days before each meeting.
3. To attend Board and Central Committee Meetings, normally on zoom and occasionally in person as required by the Chair, to take minutes and review and agree the accuracy of AI minute transcripts.
4. To work with the Chair, and if appropriate, Central Committee Chairs, and once draft Minutes are finalised, to ensure they are correctly signed and that key actions and decisions recorded in the minutes are monitored and completed in a timely manner and progress on each reported at the following meeting.
5. To assist the Chair in his/her central role regarding trustee and board performance evaluations by ensuring the scheduling of regular reviews and helping the Chair to set the agenda, focusing on the key areas relevant to individual trustees’ and the board’s performance, effectiveness and improvement.
6. To be a point of contact between the Chair and Trustees with Office Holders in the dioceses, Province, and Central Charity, as required.
7. To maintain the list of email details of Trustees, Central Committee Chairs and members, and Diocesan Officers.
8. To help collate the Annual Return form and send it off to the Charity Commission.
9. To distribute and receive nomination papers for the election of the Chair and Trustees, in line with the correct electoral procedures, as required.
10. To maintain, and, in liaison with the Chair, instigate timely reviews of, Policies and Procedure documents, and make sure all documents are uploaded onto and accessible on the Resource Hub.
11. To undertake any additional tasks requested by the Chair
12.There will be peaks and troughs in the workload, and there will be flexibility in how he/she manages their time, but it is estimated that the core commitment would be for one day per month, extending up to 2 days per month, as needed.
